Cloud Phones and AI: What Changes for Your Business

Every missed call is a customer at risk

In many companies, the phone system is the oldest technology in the building. It still carries the calls that matter most: new business, service requests, and customers who want an answer now.

When those calls go unanswered, customers leave. In a CallRail survey of 1,000 U.S. consumers, 78% said they have walked away from a business after a call went unanswered.

Moving your phones to the cloud and adding AI won’t fix this on its own. But it changes what’s possible: every call answered, routed to the right person, and measured. This guide covers the two platform types, where AI fits, what results to expect, and what to ask before you sign.

UCaaS vs. CCaaS: which one do you need?

Two terms come up in every conversation about cloud phones.

UCaaS (Unified Communications as a Service) puts business phones, video meetings, and team chat on one cloud platform. Your number rings on a desk phone, a laptop, or a cell, wherever your people are.

CCaaS (Contact Center as a Service) is built for teams that handle incoming customer calls. It adds queues, smart routing, call recording, and reporting on wait times and missed calls.

The simple test:

  • Your team mostly calls clients and each other: UCaaS.
  • Customers call in and wait to reach you: you need CCaaS too.

Many mid-size and large organizations need both: UCaaS for the whole company, and CCaaS for the teams that answer customers.

Where AI fits: call volume moves, staffing doesn’t

Call volume spikes and drops through the day, the week, and the season. Your team stays the same size.

Staff for the peak and you pay for idle hours. Staff for the average and customers hit voicemail every time it gets busy. AI on the phones closes that gap.

What it changes for the business:

  • More customers kept: callers get an answer, not voicemail, at 2 p.m. or 2 a.m.
  • A better customer experience: shorter waits, and callers reach the right person the first time.
  • Time back for your team: routine requests get handled, so people focus on the conversations that win and keep clients.
  • Room to grow: call volume can rise without hiring at the same pace.

How much can AI take on?

Forrester Total Economic Impact studies put it at 28% to 40% of customer contacts.

In one study, AI handled up to 40% of calls by the third year. That let the company absorb its call volume without hiring new agents, and abandoned calls dropped by 50%. In another, AI agents handled up to 28% of customer contacts.

Where you land depends on how your organization is structured and how deeply AI is rolled out. It also means the majority of contacts still need your people. AI takes the routine load so they can handle the rest well.

The mistake to avoid: hiding your people behind AI

Customers accept AI, but only if a human is within reach. In a Gartner survey of 3,566 customers, 87% said a company using generative AI for service must still give them access to a human agent.

Good AI is a front door, not a wall. It answers fast, solves what it can, and hands the caller to the right person with the context already captured. A system that traps callers in a loop costs you the customers you were trying to keep.

Six questions providers rarely bring up

Ask these before you sign. The answers tell you more than any demo.

  1. What happens to our calls when the internet goes down?
  2. Can we keep our existing phone numbers?
  3. What does it cost to leave: early termination fees, auto-renewal, and moving our numbers out?
  4. How fast can a caller reach a real person?
  5. Which calls will AI handle, and which go straight to our team?
  6. How will we measure results: missed calls and wait times, before and after?
